Terms of Service
Last updated 25 October 2026. Draft pending legal review.
These terms are between Occanovo and the business that subscribes to it. They do not cover that business’s own customers, who never contract with Occanovo.
1. The agreement
These terms are a contract between Occanovo Limited (“Occanovo”, “we”, “us”) and the business that subscribes (“you”).
Occanovo is the trading name of Occanovo Limited. If you accepted these terms before 19 October 2026, your agreement now continues with Occanovo Limited on the same terms.
You accept these terms by creating a workspace, starting a trial or paying a subscription, whichever happens first. If you accept on behalf of a business, you confirm you are authorized to bind it.
Occanovo is sold to businesses only. It is not offered to consumers. You must be 18 or over and legally able to enter a contract.
2. The service and your account
Occanovo is software you use over the internet to run an event or service business: inquiries, quotes, bookings, invoices, staff scheduling and reporting. We license it to you for the term of your subscription and retain all rights in it.
Your workspace is yours. You decide who joins it and what role each person holds, and you are responsible for what they do in it. Each person must have their own login.
You are responsible for keeping login details secret and telling us promptly if an account may be compromised.
Your plan sets how many brands and people your workspace may have. Bookings are unlimited on every plan. Those limits apply when you add a brand or a person; nothing already created is removed if you move to a smaller plan. The numbers are in section 4.
3. Your data, and your customers’ data
Your content stays yours. Everything you put into Occanovo remains yours. We claim no ownership, and we do not sell it, rent it, or use it to train anything.
Roles. For personal data about your own customers and staff, you are the controller and we are the processor.
What we do with it. We process it only to provide the service, only on your documented instructions, and to the extent the law requires. If we believe an instruction breaks data protection law, we will tell you.
Confidentiality. Our staff and contractors are bound by confidentiality obligations, and only those who need access are given it.
Security. We keep appropriate technical and organizational measures: encryption in transit, access limited by role, credentials stored encrypted, and separation between workspaces.
Sub-processors. We use providers for hosting, payments, email and messaging. The current list is in the Privacy Policy. We give notice before adding one, and you may object on reasonable grounds.
International transfers. Where data leaves the EEA we rely on an adequacy decision or Standard Contractual Clauses.
Your customers’ rights. If one of your customers exercises a right, we will help you respond.
Breaches. We will notify you without undue delay after becoming aware of a personal data breach affecting your data.
Audit. We will make available the information reasonably needed to show we meet these obligations.
4. Trial, fees and billing
Trial. New workspaces may be given a free trial, of the length shown when they sign up of the Professional plan, with its limits. No card is required and none is taken. At the end of the trial, paid features stop unless a subscription has started; your data is kept as described in section 8.
Plans. Prices exclude sales tax or VAT where it applies.
| Plan | Per month | Per year | Brands | People who sign in | Bookings |
|---|---|---|---|---|---|
| Essential | €29 | €290 | 2 | 5 | Unlimited |
| Professional | €59 | €590 | 4 | 20 | Unlimited |
| Enterprise | €129 | €1,290 | 8 | 25, then €12 a month for each extra person | Unlimited |
What the limits mean. Brands is the number of separate businesses you may run in one workspace, each with its own customers, invoices and branding. People who sign in counts accounts with access to the workspace; crew assigned to jobs without an account are not counted and are never limited. Bookings are not limited on any plan. On Enterprise, more people can be added beyond the 25 included, each at the monthly price shown in the table, billed with your subscription. Where a plan states a number, the service will decline to create the next one beyond it and tell you why; nothing you have already created is removed, and exports are unlimited on every plan.
Payment. Subscriptions are paid in advance by card and renew automatically until canceled. Payments are handled by our payment provider; we do not store card details.
Tax. Prices exclude VAT and other applicable tax. Business customers outside Ireland may be charged under the reverse charge where a valid VAT number is provided.
Failed payments. We will retry and tell you. If unpaid we may suspend paid access. We will not delete data for non-payment without the notice in section 8.
Price changes. At least 30 days’ notice before your next renewal. You may cancel before it takes effect.
Refunds. Fees already paid are not refundable except where the law requires. Cancelling stops the next renewal.
5. Acceptable use
You must have a lawful basis for the personal data you put into Occanovo, and give your own customers the privacy information the law requires.
You must not: upload personal data you have no right to hold; send unsolicited marketing in breach of e-privacy law; attempt to reach another business’s workspace or probe the service for weaknesses without written permission; resell or white-label the service without our agreement; copy, decompile or reverse engineer the software except where the law allows; upload malware or unlawful content; or degrade the service for other customers.
Special category data should not be entered into free-text fields. If your business needs to hold it, tell us first.
If you breach this section we may suspend access, with a warning first where reasonable.
6. Availability, support and changes
We aim to keep Occanovo available and fix faults promptly, but we do not promise it will be uninterrupted or error-free, and we offer no service level agreement unless agreed separately in writing.
We may take the service down for maintenance, with notice where planned. Support is by email during Irish business hours.
Features change as we improve the service. We will not remove a material feature without reasonable notice; if we do and it matters to you, you may cancel and we will refund the unused part of any period paid in advance.
Some features depend on services we do not control. If one fails or changes its terms, the affected feature may stop working.
7. Liability
Nothing here limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot lawfully be limited.
Subject to that, our total liability in any twelve-month period is limited to the fees you paid us in the twelve months before the claim.
We are not liable for loss of profit, business or goodwill, or for indirect or consequential loss.
We are responsible for keeping your data secure as described in section 3. We are not responsible for data you delete yourself, or lost through something you or your team did. You are responsible for keeping your own export of anything you could not afford to lose.
You indemnify us against claims arising from your use of the service in breach of these terms.
8. Ending the agreement
You may cancel at any time from your billing settings. Cancellation takes effect at the end of the period you have paid for.
We may end the agreement on 30 days’ notice, or immediately for serious breach, unpaid fees after notice, or insolvency.
Suspension is not deletion. If access is suspended for non-payment, your data stays and returns when payment is resolved.
After the agreement ends you can export your data for 30 days. After that we delete it, and backups are overwritten within a further 90 days.
We will not hold your data hostage over a billing dispute.
9. Law, changes and contact
These terms are governed by the laws of Ireland, and the courts of Ireland have exclusive jurisdiction.
We may change these terms, with at least 30 days’ notice for a material change, taking effect at your next renewal. Minor clarifications take effect when published. Every version is dated.
If part of these terms is unenforceable, the rest continues to apply. These terms with the Privacy Policy are the whole agreement between us.
